How we use your information
We, TREC GB, are committed to safeguarding the privacy of our members. This Privacy Notice sets out our practices. Please take the time to review this Privacy Notice as it informs you about how we will treat your personal information. By using the TREC GB website and services, you unconditionally accept to be bound by this Privacy Notice. We want to offer the best possible user experience, and therefore membership experience, and so from time to time we will incorporate additional functions and services into the TREC GB website. Because of this and our commitment to protecting your privacy, there may be changes made to this Privacy Notice as well. TREC GB Members will be notified via email of any amendments to this Privacy Notice or to any of our other governance documents. What information do we collect?
When you apply for TREC GB Membership or order products from the TREC GB website, we need to know your name, postal address, email address, telephone or mobile phone number and any other information required for your membership or purchase. We also need to know the products you wish to order.
When you enter an affiliated TREC GB competition, TREC GB will be sent your name, horse’s name, Membership Number and your results from that competition by the competition organiser.
By applying for Membership, ordering products or entering affiliated competitions, you are considered to be entering into a contract with TREC GB.
What do we use your personal information for?
TREC GB uses the information supplied by you when applying for Membership or ordering products from the TREC GB Website to administer the membership services, process your order and communicate with you accordingly in respect of this.
When you initially join TREC GB, you will be added to the subscription list to receive newsletters as well as relevant and useful information. These will be sent, from time to time, to your registered email address. You can opt out of receiving further newsletters at any time by following the unsubscribe link in the newsletter you have received. However, you cannot opt out of receiving all information as we need to inform you of such things as the TREC GB elections.
TREC GB uses the information supplied to us by competition organisers about you to record your results, calculate placings in the TREC GB Summer or Winter Leagues and to inform you of qualification status for either of the National Championships held annually.
How is your information stored?
TREC GB stores the information you supply when applying for membership or purchasing products through the TREC GB Website in a secure (password and firewall protected) database and on a secure (password and firewall protected) server. TREC GB will use reasonable technical and organisational precautions to prevent the loss, misuse or alteration of your personal information.
You acknowledge that the transmission of information over the internet is inherently insecure and we cannot guarantee the security of data sent over the internet. You are responsible for keeping the password you use for accessing the secure areas of the TREC GB website confidential; we will not ask you for your password (except when you log into the TREC GB website). (If you forget your password, there is a “Lost your password?” facility on the website which you should click. You will then be sent an email allowing you to reset your password.)
TREC GB stores the information supplied to us by competition organisers in the secure database and on a secure (password and firewall protected) server.
TREC GB and Third Parties
TREC GB will not pass the personal information supplied by you to third parties under any circumstances except as follows:
- If you register as a member and nominate a TREC GB Affiliated Club, we will pass your information to the club so that they may contact you.
- If you enter an event online, we will supply sufficient information to the event organiser to enable them to process your entry.
- If you make a payment online using PayPal, we will supply sufficient information to PayPal to enable them to process your transaction.
- If you are a RED tier member, we may supply sufficient information to our insurers to enable them to maintain the Group Insurance Policy.
Any information so supplied will be limited to the extent required for the particular purpose; at no time will your password ever be made available (no TREC GB Board member or administrator has access to your password).
Unless you have chosen not to receive newsletters from TREC GB, we may also send advertisements from our advertisers and sponsors to your registered email address; such messages will always be sent from TREC GB on behalf of the advertiser/sponsor. We will never supply your email address to third parties (except as noted above).
The TREC GB website includes hyperlinks to, and details of, third party websites. TREC GB has no control over, and is not responsible for, the privacy policies and practices of third parties.
All Event Organisers and TREC GB Affiliated Clubs are required to abide by the TREC GB Privacy Notice.
Your rights
You may instruct TREC GB to provide you with any personal information TREC GB holds about you either verbally or in writing.
The written response will only be sent to either the email or postal address held on file for the individual concerned.
TREC GB will respond within one month of your request.
You may instruct TREC GB at any time not to process your personal information for marketing purposes.
Updating Information
Please let TREC GB know if the personal information that we hold about you needs to be corrected or updated. You can do this via the ‘My Membership’ option when signed into the TREC GB website or by contacting admin@trecgb.com with the relevant information.
Cookies
TREC GB does not use cookies for any purpose of tracking or otherwise recording your use of the site. However, we do use cookies as follows:
- If you log onto the TREC GB website then we will use a temporary cookie that does no more than track that you are logged on to avoid you having to logon for every page that has your personal data.
- If you choose the “Remember Me” option when you log on then a cookie will be stored on your local computer containing your logon details. Each time you return to the site from this computer your logon credentials will be passed using the stored cookie to avoid you having to logon each time you visit. If you have chosen this option but wish to remove it, simply remove the tick in the “Remember Me” box and click on the logout button; the cookie will be removed and next time you logon you will be asked for your email address and password.
